What each document covers

Estimate

Before the job — what it will cost, and what it will not include.

  • Header block for your business name, licence number and contact details
  • Customer and job-site address, kept separate — they are not always the same place
  • Itemised scope with quantity, unit and unit price
  • Good / better / best option columns, priced independently
  • Exclusions section — the half that prevents the argument
  • Validity period, so a price does not follow you into next season
  • Acceptance line with a date

Contract

Once they say yes — the payment schedule, changes and what happens if either side walks.

  • Parties, scope and a reference to the estimate it is built from
  • Payment schedule — deposit, progress and balance, with amounts and triggers
  • Change-order clause requiring written agreement before extra work
  • Delay and weather provisions
  • Warranty period and what voids it
  • Cancellation and refund terms
  • Signature blocks for both parties, with a date

Invoice

When the work is done — the balance, net of the deposit and any change orders.

  • Invoice number and date, and the contract it settles
  • Work completed, itemised against the original scope
  • Approved change orders, listed separately from the original scope
  • Deposits and prior payments credited
  • Balance due, payment terms and accepted methods
  • Late-payment terms
