Scheduling

Book it, move it, and tell the customer.

Booking happens on the customer record, next to the stage that needed it. This is where the week gets sorted out afterwards.

A customer can have more than one appointment

The site visit and the installation are two bookings that coexist, each with its own time, its own crew and its own reminders. Booking the second does not overwrite the first.

Reminders belong to the appointment

So the visit being reminded about last week does not make the installation think it has already reminded somebody. Move an appointment and its reminder resets, because a reminder for a time that changed is worse than a second reminder.

Drag between days, or use the picker

Both do the same thing. The picker is not a fallback — it is the touch path and the keyboard path, and the only one of the two that works with a screen reader.

Assign it to somebody

An unassigned job is a job nobody is shown in the field app, so assignment is part of booking rather than a separate screen. Filter the calendar by tech to see one person’s week.

Anyone on the team can schedule

Not just owners and admins. Gating the calendar on a management role means the person driving to the house cannot move their own appointment, and the workaround is texting the customer a time the system does not know about.

The decision behind it

This is a calendar, not a dispatch board

A drop names a day, and the time of day rides along with it. There is no hourly grid and no column per technician, because the businesses this is built for do not run a dispatch desk — they run a week, and the question on a Monday morning is which day something moves to rather than which fifteen-minute slot.

That is a real limit and it will not suit everybody. If you are sequencing eight crews against drive times, buy something that does route optimisation; you will be happier and we would rather say so now.

What this does not do

  • No route optimisation and no drive-time estimates.
  • No customer self-booking from a public calendar.
  • No per-technician hour grid. A move is to a day, not to a slot.

Questions

Does moving a job tell the customer?

It clears the reminder for the old time, so the reminder that goes out is for the new one. The screen says so at the moment you drop it, because dragging something is a careless enough gesture that the consequence should not be a surprise.

What about work that is not on a date yet?

It sits in an unscheduled list rather than disappearing. A job created without a date is a real thing — the customer is waiting on a part, or on a decision — and it needs somewhere to be visible.

Can I track hours against a job?

Yes. Time is recorded by starting and stopping a timer, against a job or against nothing in particular for shop time and driving. Entries can be corrected, and a corrected entry keeps what the timer originally recorded alongside the edit.
